Terms and Conditions

1. Payment

1.1 Payments for packages and consultations are payable upon booking. You may be offered instalment payment options depending on the length of your package, in which case the first instalment will be due upon booking, and further instalments will be taken the following month/s on the same date.

1.2 Payment is to be made on booking in order to hold a package and consultation. Bookings are not secure until payment either in full or the first instalment has been made. Bookings will be held for 48 hours and then will be released if payment has not been received.

1.3 Costs are for the package or consultation only. Additional costs may be incurred if supplements or laboratory testing are recommended (please see below). These are optional and are discussed during the consultation.

1.4 You agree to your payment method card details being saved on your file on submission of your first payment. Subsequent payments will be taken on the dates set out in your programme/package instalment plan automatically via the saved payment method.

1.5 In case of late payment or payment failure (due to an expired card or any other reason) we will issue an invoice for payment. If this invoice is not settled within 5 working days of the day of the missed payment we will attempt payment again using the saved payment method card details.

1.6 Late payment of over 5 working days may result in a 5% charge.

2. Cancellation and Refunds

2.1 Consultations within a package or programme;

2.1a Cancelation of a consultation can be made up to 24 hours prior to consultation without a deduction from your programme, any cancellations made after 24 hours prior to consultation will incur a deduction of that consultation from your programme/package.

2.1b Refunds on programmes and packages are not available once initial or full payment has been made. Payment plans may not be deferred or cancelled. If you need to postpone the commencement of your programme or package this will be agreed with the practitioner in charge of your case.

2.1c In the case that any required paperwork has not been completed and returned by the time and date specified by your practitioner in advance of your initial consultation, your booking may be cancelled and may be deducted from your programme. The standard time is a minimum of 3 days before your consultation date as this gives the practitioner time to review your case in the clinic time preceding your consultation/s.

2.2 Initial health assessments and single one-off stand-alone consultations;

Initial consultations/Health assessments or single one-off stand-alone consultations may be cancelled as follows;

All consultations if cancelled or rearranged once payment has been received but prior to 48 hours before consultation will incur a £50 administrative fee.

If the consultation is cancelled and a refund is requested then a deduction of the original payment processing fee will also be made.

If cancelled between 24-48 hours prior to consultation a 50% fee will be retained by the Surrey Centre for Nutrition

If cancelled between 0-24 hours prior to consultation no refund will be given and 100% of the fee will be retained by the Surrey Centre for Nutrition

3. Consultation Format

All consultations will be held online via the Practice Better Telehealth or Zoom unless otherwise specified on booking your consultation.

4. Medical Insurance

We at the Surrey Centre for Nutrition are not registered with private medical insurance companies and therefore it is unlikely that cover for your programme of consultations will be available. If however your medical insurer agrees to cover the costs of working with one of our practitioners all fees are payable by you to the clinic and reimbursement from your insurer to yourself will need to be arranged at your discretion.

5. Nutritional Supplements

We recommend certain products only from manufacturers who have gained confidence through considerable research and experience. The brands of supplements recommended are those that meet our high standards in terms of their purity, quality, bioavailability (ability to be properly absorbed and utilised by the body), and effectiveness. You are not guaranteed the same level of quality when you purchase your supplements elsewhere.

Most of the supplements recommended can be purchased by yourself through one of our preferred practitioner suppliers. Commission is split between client and practitioner.

6. Laboratory testing

As we follow a functional medicine approach to nutrition as outlined by the Institute of Functional Medicine (IFM), laboratory tests are routinely used to help ascertain functional imbalances in the body. You may be recommended certain tests to help us devise the most suitable programme for you. You are under no obligation to undertake these tests, but recommendation is based upon the best course of action for each patient individually. The price of these tests includes an interpretation fee that is passed onto the practitioner to cover the time taken to understand the results in the context of each client. The interpretation fee will depend on the complexity of the test/s required.

7. Personal Data

Your personal data will be visible to all staff at the Surrey Centre for Nutrition, and your case may be discussed with other members of the clinical and administrative team. Your data may also be shared with other people/organisations who we feel it is necessary for the best clinical outcome for your case or for the process of effectively conducting your case/client programme.

8. Protocols and Reports

We will endeavour to send all written protocols and reports to you no later than three working days following your consultation, however, this cannot be guaranteed and in some cases may take longer.

9. Testimonials and client feedback

We may use information collected from consultation with yourself, and from any documentation/forms submitted to us by yourself for use as testimonials and in marketing materials, both online and print. We will use first names only in these testimonials.
